ISO SUPPORT

ISO consultancy that builds a system your business can actually use.

Harrington Raine helps organisations implement and improve management systems for ISO 9001, ISO 14001 and ISO 45001 — from understanding what is already in place through to preparing for independent certification.

The aim is not a folder of paperwork. It is a practical management system that reflects how your business works, can be maintained and supports proper certification readiness.

MANAGEMENT SYSTEMS

ISO should improve how the business works, not bury it in paperwork.

A management system should bring structure to the way your organisation works. It should make responsibilities clearer, support consistent processes and provide a practical basis for review and improvement.

It should not become a parallel bureaucracy maintained only for an audit.

Built around your operations

We start with how the organisation actually works, then develop the management system around the requirements of the chosen standard.

Proportionate documentation

Policies, procedures, registers and records should support the system. The objective is not to create paperwork simply because a template says it should exist.

Embedded, not filed away

The system needs to be understood and used by the people responsible for it — not left in a folder until the next assessment.

Designed to keep working

A useful management system should be capable of being reviewed, maintained and improved as the organisation changes.

THE STANDARDS

Which ISO standard does your business need?

That depends on what you need the management system to control or demonstrate. Some organisations start with one standard. Others combine two or more where that makes sense for the business.

ISO 9001

Quality Management

ISO 9001 provides a framework for managing quality consistently. It helps organisations define how work should be done, who is responsible, how performance is measured and how problems lead to improvement.

Primary focus

Quality, consistency and customer requirements.

Typical areas

Processes, responsibilities, objectives, performance measurement, corrective action and continual improvement.

Why businesses consider it

Often because customers, tenders or supply chains expect formal quality controls — or because growing businesses need more consistency in the way work is managed.

ISO 14001

Environmental Management

ISO 14001 provides a structured framework for managing environmental responsibilities. It helps organisations understand their environmental impacts, establish appropriate controls, set objectives and monitor performance.

Primary focus

Environmental management and performance.

Typical areas

Environmental aspects and impacts, relevant obligations, resource use, waste, objectives, controls, monitoring and continual improvement.

Why businesses consider it

It may be driven by customer or tender requirements, supply-chain expectations or a decision to manage environmental responsibilities more systematically.

ISO 45001

Occupational Health & Safety Management

ISO 45001 provides a framework for managing occupational Health & Safety through a structured management system. It brings together leadership, worker participation, hazard and risk management, planning, monitoring and continual improvement.

Primary focus

Occupational Health & Safety management.

Typical areas

Leadership, worker participation, hazards, risks and opportunities, objectives, operational controls, performance monitoring and improvement.

Why businesses consider it

It can help organisations bring greater structure and oversight to the way Health & Safety is managed, particularly where formal certification is commercially important.

YOUR STARTING POINT

ISO support should start with where your business is now.

Some organisations are starting from scratch. Others already have useful processes, an existing certification or a customer deadline.

The right route depends on what is already in place, which standard you need and what you are trying to achieve.

Starting from scratch

You know you need ISO 9001, ISO 14001 or ISO 45001, but there is no formal management system in place yet.

Formalising what already works

Your business already has processes and controls, but they may be inconsistent, undocumented or spread across different systems.

Working towards certification

A customer, tender or supply-chain requirement means you need to prepare the management system for independent certification.

Adding another standard

You already work to one management-system standard and want to introduce another without creating unnecessary duplication.

Improving an existing system

You already have a management system, but it has become cumbersome, outdated or disconnected from day-to-day operations.

Supporting an existing certification

You are already certified and need help maintaining, reviewing or improving the system ahead of future assessment activity.

HOW IT WORKS

From gap analysis to certification readiness.

The work starts with understanding what you already have. From there, Harrington Raine helps establish what needs to change, build the management system and put it into practice — with certification readiness as the objective where independent certification is required.

01

Assess what is already in place

Review the organisation’s current processes, documentation and management arrangements against the chosen standard. The aim is to identify what already works, where the gaps are and what needs attention.

02

Plan the route

Turn the findings into a practical implementation plan: priorities, responsibilities, who needs to be involved and the order in which the work should happen.

03

Build the management system

Develop or improve the processes, controls and documented information needed for the chosen standard, making use of existing arrangements where they already work.

04

Put it into practice

Support the organisation in embedding the system into normal operations so that responsibilities, controls and records are understood and actually used.

05

Review and strengthen

Review how the system is operating, identify remaining weaknesses and address gaps before the organisation moves towards certification assessment.

06

Prepare for independent certification

Where certification is the objective, help bring the management system to a properly prepared position for assessment by an independent certification body.

The exact scope will depend on your starting point, the standard or standards involved and the support agreed.

Build the system. Create only the documentation it actually needs.

ISO implementation is not about buying a set of templates and changing the company name.

Depending on your starting point and the agreed scope, Harrington Raine can help develop the processes, controls and documented information needed to create a management system that works in practice.

The documentation should support the system. The system should support the business.

Management-system structure

Establish how responsibilities, processes and controls fit together so the system has a clear and workable structure.

Policies and documented information

Develop the policies, procedures, registers, records and other documented information appropriate to the standard and the way your organisation operates.

Processes and operational controls

Define or strengthen the practical controls needed to manage quality, environmental or Health & Safety requirements consistently.

Objectives and measurement

Establish appropriate objectives, measures and review arrangements so performance can be monitored and the system can improve over time.

Implementation support

Help the people responsible for the system understand what needs to happen and put the agreed processes and controls into normal use.

Gaps and corrective action

Address weaknesses identified as the system develops or during review activity, helping move the organisation towards a properly prepared position.

INTEGRATED MANAGEMENT SYSTEMS

More than one standard does not have to mean more than one system.

If your organisation needs ISO 9001, ISO 14001 and ISO 45001 — or a combination of them — it may make sense to manage shared requirements through one coherent management system.

The objective is not to merge everything for the sake of it. It is to avoid unnecessary duplication while keeping the specific requirements of each standard clear.

Use what can be shared

Common management arrangements can often be handled consistently across the standards rather than recreated several times.

Keep the differences clear

Quality, environmental and Health & Safety requirements still have their own subject-specific controls and responsibilities.

Build for the business as a whole

Where integration is appropriate, the result should feel like one management system used by the organisation — not several ISO systems competing for attention.

ISO SUPPORT FAQs

Straight answers to common ISO questions.

ISO terminology can make a relatively straightforward decision sound more complicated than it needs to be. Here are the answers to some of the questions businesses commonly have before getting started.

What is ISO certification?

ISO certification is independent confirmation that a management system meets the requirements of a particular ISO standard.

The management system itself is what the organisation puts in place and operates. Certification is the separate assessment of that system by an external certification body.

It depends on what you need to manage or demonstrate.

ISO 9001 relates to quality management. ISO 14001 relates to environmental management. ISO 45001 relates to occupational Health & Safety management.

Some organisations need one standard; others choose or are required to work towards more than one.

No. Harrington Raine provides ISO implementation, management-system and certification-readiness support.

Where certification is required, the completed management system is assessed separately by an independent certification body. Harrington Raine does not issue ISO certificates or control whether certification is awarded.

For most businesses working towards ISO 9001, ISO 14001 or ISO 45001, the correct term is certification.

Accreditation relates to the competence and impartiality of organisations carrying out conformity-assessment activities, such as certification bodies. In the UK, UKAS is the national accreditation body.

So, although people sometimes talk about becoming “ISO accredited”, an organisation would normally become ISO certified.

Generally, no. ISO management-system standards can be implemented without obtaining certification.

However, certification may be required commercially or contractually — for example by a customer, tender process or supply chain. The important first step is understanding what your organisation actually needs and why.

A gap analysis compares your existing processes, controls and documented information with the requirements of the relevant ISO standard.

It helps establish what is already in place, what can be retained and where work is needed before the management system is ready for further assessment.

There is no sensible universal timescale.

It depends on factors including your organisation’s size and complexity, the standard or standards involved, what is already in place, the number of locations, the availability of relevant people and the work required to implement the system properly.

The starting assessment allows a more realistic implementation plan to be established.

Yes. Where more than one standard is relevant, shared management-system requirements can often be brought together within an integrated system rather than unnecessarily duplicated.

Each standard still has its own subject-specific requirements, so integration should be based on what works for the organisation rather than combining things simply for the sake of it.

Yes. Support does not have to begin with a first-time implementation.

Depending on the agreed scope, Harrington Raine can help organisations review and improve an existing management system, address identified gaps and prepare for future assessment activity.

Not necessarily — it depends on the tender.

Some tenders expressly require certification to a particular ISO standard. Others may accept an equivalent management system or specify when certification needs to be in place.

If a tender or customer requirement has prompted your enquiry, we can help you understand what is being asked for and what needs to be put in place.

You can implement an ISO management system internally. Using a consultant is not a requirement for certification.

The question is usually whether your organisation has the necessary time, knowledge and internal resource to interpret the standard, build the system and manage the implementation alongside day-to-day responsibilities.

Harrington Raine can provide additional structure and practical implementation support where you do not want to manage the whole process alone.

Initial certification is normally assessed in two stages.

Stage 1 considers your management system and readiness for the main assessment. Stage 2 looks at how the system has actually been implemented and whether it is operating effectively against the requirements of the relevant standard.

The certification body may review records, processes and other evidence and speak with relevant people within the organisation. Any issues identified are dealt with through the certification body's assessment process.

Harrington Raine's role is to help you prepare the management system properly before that independent assessment.

Know where your management system stands. Know what to do next.

Whether you are starting from scratch, working towards certification or improving an existing system, we can help you establish the practical next step for ISO 9001, ISO 14001 or ISO 45001.
